The Opportunity

The Bid Desk Analyst is responsible for the quote state from the beginning through completing the Motili Work order process. Serves as the HVAC Specialist within the Motili team; will provide industry knowledge to colleagues, including on-the-job HVAC training, installation application, and answering contractor questions/concerns pertaining to the job at hand. The analyst reviews all contractor quotes and submits them to clients for approval based on a series of rules (Pricing, Labor, equipment, etc.) This role has advanced HVAC product knowledge and the ability to work with finance for clients on the final quote. Responsible for reviewing and revising quotes submitted by contractors
Responsible for oversite of contractor payout is fair and reasonable on repair/replace installation
Ensure quotes in final form are thorough, accurate, and reflect the proper balance between contractor desires and organizational objectives
Perform cost analysis for potential and existing quotes to evaluate profitability and potential opportunity
Confirm additional work suggested by technician outside of a standard repair or replacement, ensuring all costs to client are valid, and instruct technicians on application functions
Provide feedback for contractors when a quote requires revising, if the client has rejected it for any reason, or if the bid Desk team determines that the quote submitted does not encompass the entire scope of work. Confirm on-site, pre-approved repairs are justified and ensure code, licensing, and permitting compliance
Review accuracy of the equipment and part selection as it applies to the installation and ensures product selection meets AHRI guidelines Explain selections based on current system conditions or current municipality code requirements Enforce flat rate repair / replace pricing schedule and ensure client pricing aligns with the contractual agreement
Verify items on the quote are justified with photo reviews and submit reviewed quotes to clients
Serve as the liaison for any questions that may arise from the quoting process and demonstrate knowledge of the equipment/part selection and how the system functions Understand and own margin per job; by client, while working with the Sales team Effectively adhere to policy and procedures in compliance with Company policy and the law
Maintain a clean, professional, and safe work environment; creating an environment that welcomes others
Collaborate with others to exchange information; receive or give direction, and effectively work as part of a team
Support team in meetings to present new ideas, changes in product, or enhance Bid Desk experience
Participate in additional projects/activities to support ongoing business needs

Nature and Scope:

Final decision maker on quotes before sending to client up to $50,00000 or less
Ensures work aligns with the business unit objectives and complies with procedures and policies

Knowledge and Skills:

Holds advanced HVAC knowledge, AHRI matchup, application system(s), code requirements, and understands, approves.
the installation before submissions to the client Demonstrated experience managing client relationships in a complex, fast-paced environment, including the ability to communicate directly to clients
Strong negotiation and influencing skills, including conflict resolution with the ability to establish positive work relationships
Clear, concise, and professional verbal and written communication skills, including effective listening skills
Verifiable background in superb customer service and relationship management skills
Ability to think critically; de-escalate issues that may arise with a contractor
Strong analytical and problem-solving skills, including a high level of attention to detail and accuracy
Effective organizational skills and time management skills, including the ability to prioritize and multi-task
Proficiency with keyboarding skills, MS Office - Outlook, Excel, Word, PowerPoint - Ability to use Email, calendar scheduling, creating and updating spreadsheets
Ability to apply good judgment and strong work ethics, and integrity on the job


2-3 years experience in residential or commercial real estate, property management, or home integrated services
(including but not limited to heating & air conditioning, repair, replacement, or property management)

Education :

High school diploma or GED equivalent; Bachelor or Associate degree preferred
HVAC certification preferred
