OF ROLE:S:US' Development and External Affairs team works
collaboratively with Board members, executive leadership, program,
and finance staff to build internal and external relationships,
raise funds, and increase the organization's visibility. The team
includes staff members working in the areas of fundraising,
marketing and communications, and volunteer management.The
Fundraising Database and Administrative Manager will primarily be
working with the fundraising staff members, whose focus is
increasing individual donations and foundation and corporate
grants, and strategically positioning S:US for future contributed
revenue growth. The fundraising team is responsible for ensuring
the philanthropic support that is vital to S:US' ability to provide
essential, innovative services and ensure excellence. The
Fundraising Database and Administrative Manager will also support
the Marketing and Communications and Volunteer and Community
Relations teams.2. ESSENTIAL DUTIES & RESPONSIBILITIES:Data
Management
- Enter data and donor information into Raiser's Edge, including
processing online donations as well as manually entering pledges,
donations from third-party platforms, check and ACH payments, and
volunteer information.
- Manage quality control in Raisers Edge database; regularly
check for duplicates, clean up inconsistencies, and manage relevant
standard and custom data fields.
- Manage the donor acknowledgment process, including maintaining
and updating templates for acknowledgments, generating letters, and
tracking acknowledgment status in Raiser's Edge.
- Communicate regularly with finance to facilitate reconciliation
and ensure data accuracy between departments.
- Generate reports and queries, including standard monthly
fundraising and finance reports as well as more complex analysis as
needed.
- Create and maintain dashboards in Raiser's Edge NXT to provide
an overview of fundraising progress and tasks.
- Guide colleagues on best practices relating to data integrity
and database navigation.
- Segment, clean, and analyze donor and prospect lists for
appeals, event invitations, and other donor communications.
- Manage list of contacts in Constant Contact; update information
as needed, and analyze data against Raiser's Edge to gain insights
into donor engagement with email messaging.
- Work with Development Director to manage and continue to build
out moves management system in Raiser's Edge, including tracking
grant proposals and donor interactions.Administration
- Keep track of department finances, including processing check
requests, credit card reconciliation, budget, invoices, and
maintaining all subscriptions.
- Handle all administrative tasks, including arranging and set-up
of all departmental meetings.
- Maintain and refine policies and procedures documents regarding
data management and department administration.
- Manage and maintain department files to ensure accessibility
and accuracy of recordkeeping.Strategy and Fundraising Support
- Support Chief Development and External Affairs Officer,
Associate Vice President of Special Events, and Director of
Development in their fundraising, cultivation, and stewardship
efforts.
- Serve as a thought partner to the Development Director in
developing and improving data systems as department grows in
complexity; proactively suggest ways to streamline processes and
increase efficiency.
- Identify and mark donor prospects by analyzing engagement
trends, giving patterns, and wealth information.
- Perform other duties as assigned.QualificationsREQUIRED
QUALIFICATIONS
- 2+ years of non-profit experience, including responsibilities
for data administration, management and reporting.
- In-depth knowledge of donor database management required; 2+
years of experience using Raiser's Edge, as well as proficiency in
NXT, strongly preferred.
- Tech-savvy; ability to navigate Raiser's Edge quickly and
accurately, including running complex queries and reports.
- Highly detail-oriented and able to accurately process and
analyze data.
- In-depth knowledge of Microsoft Excel, including functions such
as VLOOKUP, pivot tables, etc.
- Strong analytical and problem-solving skills.
- Ability to prioritize and successfully manage several projects
and navigate changing priorities.
- Ability to communicate effectively and explain data processes
clearly to development and other staff members.PREFERRED
QUALIFICATIONS
- Undergraduate Degree.
- Experience with building and maintaining donor and community
relationships.
